How to sync SanMar inventory to WooCommerce

This guide walks through the current AYBABTU Sync setup: connect an existing WooCommerce store, save your SanMar Web Services credentials, choose which products to update, and turn on scheduled inventory sync.

AYBABTU works with your own SanMar account. You need an active WordPress and WooCommerce site, an AYBABTU API key, WooCommerce REST credentials, and SanMar Web Services customer number, username, and password. The plugin is available from the AYBABTU WooCommerce download page. For help, see Merchant Support or the API documentation.

1. Prepare your accounts and products

Have an active WordPress site with WooCommerce, an AYBABTU account, WooCommerce REST API credentials with Read/Write access, and SanMar Web Services credentials. For inventory sync, select existing WooCommerce products whose SKUs match SanMar part numbers, or have an Owner or Buyer add eligible SanMar styles from the AYBABTU catalog as variable products with color and size variations. AYBABTU maps their style-color-size SKUs and syncs stock; prices are set and synced when price sync is enabled. Restricted brands and hemmed pants cannot be added.

2. Install AYBABTU Sync

Download the AYBABTU Sync plugin from the AYBABTU WooCommerce download page. In WordPress, open Plugins, choose Add New, then Upload Plugin. Select the downloaded ZIP, install it, and activate AYBABTU Sync. WooCommerce must already be installed and active. The plugin adds an AYBABTU Sync settings page in wp-admin.

3. Save an AYBABTU API key

Create an AYBABTU account in the Developer Portal and create an API key. In WordPress, open AYBABTU Sync settings and save the key. Check the connection status, then choose Open AYBABTU dashboard. The dashboard opens as a separate page; the plugin does not embed the portal inside wp-admin.

4. Connect your WooCommerce store

In the AYBABTU dashboard, create WooCommerce REST API consumer credentials with Read/Write permission. Enter the store URL, consumer key, and consumer secret in the store connection flow. Save the connection and confirm its status before changing sync settings. The credentials let AYBABTU read existing products and update their selected inventory settings.

5. Enter SanMar Web Services credentials

Open the portal's Vendor Credentials area and fill in the SanMar Web Services / SOAP section. Enter the SanMar customer number, SanMar.com username, and password, then save the SOAP credentials. These credentials are required for inventory queries and purchase-order submission. The optional SanMar SFTP connection is separate and is not required for the WooCommerce inventory sync described here.

6. Choose which WooCommerce products to check

In the connected WooCommerce dashboard, open the SanMar product-selection controls. You can check all published products, only products marked in WooCommerce as Sync stock from SanMar via AYBABTU, or only SKUs that begin with prefixes you specify. The product marker can be set on an individual product or variation, or by using the Products bulk action. Choose the narrowest rule that matches your store. Products outside the selected set are left alone, and an unmatched selected SKU is skipped and recorded in the sync log.

7. Set optional price rules

Price synchronization is off until you enable Sync Prices. If you turn it on, AYBABTU can calculate the WooCommerce regular price from supplier cost using either a percentage markup or a fixed add-on. The dashboard also provides price-rounding and MAP-floor settings. Review the result carefully: enabling Sync Prices permits AYBABTU to overwrite regular prices for the selected products. Leave it off if you only want inventory quantities updated.

8. Choose the backorder policy

Use the Out-of-stock purchase behavior setting to decide what WooCommerce should do when an item is unavailable. The available choices are Strict block purchases, Allow backorders with notice, and Allow backorders. Pick the policy that matches your fulfillment process, and review the customer-facing behavior in your WooCommerce store before relying on it.

9. Enable automatic sync and review results

Turn on Enable automatic WooCommerce syncs after confirming the store, SanMar credentials, and product selection. AYBABTU checks stock on its server about every 15 minutes; the schedule does not depend on traffic to your WordPress site or WP-Cron, and background syncs do not count against monthly API requests. Use the dashboard's sync status and logs to confirm selected SKUs are being processed. You can run a manual sync from the dashboard when you need an immediate check.

Before you finish

Check a few selected SKUs in WooCommerce after the first run and compare the displayed stock with your SanMar account. Confirm that products outside your selection did not change. If stock does not update, verify the store connection, REST permissions, saved SanMar credentials, matching SKUs, and the selected product rule. If price sync is enabled, confirm the markup, rounding, and MAP-floor settings before letting the scheduled run continue.
